HomeMy WebLinkAboutCC Resolution 14285 (CRM Software)RESOLUTION NO. 14285 A RESOLUTION AUTHORIZING THE CITY MANAGER TO PURCHASE CONSTITUENT RELATIONSHIP MANAGEMENT (CRM) SOFTWARE SERVICES FROM SENECA SYSTEMS WHEREAS, in January 2015 the City Council approved a Community Engagement Action Plan which outlined the need for constituent relationship management (CRM) software to improve the handling of public issue reporting and inquiries; and WHEREAS, the City convened an internal team to prioritize the actions of the Plan and determined that CRM was one of three top priorities; and WHEREAS, on February 1, 2016 the City Council accepted a staff report regarding these priorities and on February 3, 2016 the City issued a Request for Information for CRM services; and WHEREAS, a cross -departmental team of staff reviewed vendor responses and participated in demonstrations, ultimately recommending that the City proceed with Seneca Systems for CRM services; and WHEREAS, Seneca Systems is a Redwood City -based start-up company who offers a software -as -as -service (SaaS) product called RomulusCRM that allows staff to assign, track, and resolve constituent requests; and WHEREAS, staff has used RomulusCRM on a pilot basis since August 2016 and recommends that the City Council authorize continued use of RomulusCRM by the City; and WHEREAS, there are sufficient funds in the City's Information Technology Fund to support the proposed purchase, of $60 per user per month, for a total not to exceed $50,000 annually; and NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of San Rafael does hereby authorize the City Manager to purchase CRM services, on behalf of the City of San Rafael, according to the terms of use (htti)s://www.romuluscrm.com/termsofuse.html), from Seneca Systems. I, ESTHER BEIRNE, Clerk of the City of San Rafael, hereby certify that the foregoing Resolution was duly and regularly introduced and adopted at a regular meeting of the City Council of said City held on Tuesday, February 21, 2017 by the following vote, to wit: AYES: COUNCILMEMBERS: Colin, McCullough and Vice -Mayor Bushey NOES: COUNCILMEMBERS: None ABSENT: COUNCILMEMBERS: Gamblin and Mayor Phillips ESTHER C.
