Home My WebLink AboutCC Resolution 11972 (Software Maintenance; CRW Associates)RESOLUTION NO. 11972 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF SAN RAFAEL APPROVING AND AUTHORIZING THE INTERIM CITY MANAGER TO EXECUTE AN AMENDMENT TO AN AGREEMENT BETWEEN THE CITY OF SAN RAFAEL AND CHRISTOPHER R WUERZ, DBA CRW ASSOCIATES FOR PROVISION OF ADDITIONAL SOFTWARE COMPONENTS AND MAINTENANCE SERVICES WHEREAS, the CITY and the CRW entered into an Agreement dated July 6, 1999 by which CRW agreed to provide CITY with permit tracking and parcel management computer software and maintenance services for said software; and WHEREAS, the CITY has determined that additional software components and accompanying maintenance services are required to implement web -based public access to development records; and WHEREAS, CRW has specific knowledge, expertise and experience in the software application and maintenance services required; and WHEREAS, CRW is willing and able to provide the additional software application and maintenance services; and WHEREAS, pusuant to paragraph 13.3 of the original Agreement, the parties can modify the agreement upon their mutual consent. NOW, THEREFORE, BE IT RESOLVED, that the City Council of the City of San Rafael hereby approves and authorizes the Interim City Manager to execute an amendment to the agreement between the City and CRW Associates for the provision of additional software components and maintenance services, in the form attached hereto and incorporated herein. 1 ,' �U1 a1Y I, Jeanne M. LEONCl, City Clerk AMENDMENT TO AGREEMENT BETWEEN THE CITY OF SAN RAFAEL AND CHRISTOPHER R WUERZ, DBA CRW ASSOCIATES FOR PROVISION OF ADDITIONAL SOFTWARE COMPONENTS AND MAINTENANCE SERVICES This Amendment to Agreement is made and entered into this 19th day of June, 2006 by and between the CITY OF SAN RAFAEL (hereinafter "CITY'), and CHRISTOPHER R. WUERZ, DBA CRW ASSOCIATES (herein referred to as "CRW") RECITALS WHEREAS, the CITY and the CRW entered into an Agreement dated July 6, 1999 by which CRW agreed to provide CITY with permit tracking and parcel management computer software and maintenance services for said software; and WHEREAS, the CITY has determined that additional software components and accompanying maintenance services are required to implement web -based public access to development records; and WHEREAS, CRW has specific knowledge, expertise and experience in the software application and maintenance services required; and WHEREAS, CRW is willing and able to provide the additional software application and maintenance services; and WHEREAS, pusuant to paragraph B.3 of the original Agreement, the parties can modify the agreement upon their mutual consent. AGREEMENT NOW, THEREFORE, the parties hereby agree as follows: 1. Item number 1 of Exhibit "A" of the original Agreement is hereby amended to read as follows: "1. Install Permit Tracking, Code Enforcement, Project Management software, Trakit web pages and related software (per proposal dated June 8, 2006 attached as Exhibit "G" to the Agreement), and IVR interface for Trakit (per proposal dated June 7, 2006 attached as Exhibit "H" to the Agreement)". 2. Exhibit "C" of the Agreement is amended to read as follows: a. Item number 2, "Annual Maintenance Costs:" will be increased by $1,000.00 per year for the Trakit module, per Exhibit "H". b. Item number 6, "Interface for interactive internet capabilities" will be modified to include an additional fee of $9,000.00 per Exhibit "H". C. Item number 11 will be added to say "Provide IVR interface for Trakit". Details and cost per Exhibit "G". d. Item number 2, "Annual Maintenance Costs" will be increased an additional $500.00 for the IVR interface, per Exhibit "G". 3. Exhibits "G" and "H" are hereby added to the Agreement. 4. All other covenants, terms and conditions of the original Agreement shall remain in full force and effect for the term of the Amended Agreement. June 7, 2006 This interface allows the IVR vendor of the City's choice to connect to the Trakit Database and exchange information with the database in a structured, consistent manner. Typical applications are: Inspection Scheduling Inspection Cancelling Posting of Inspection Results Inspection Results - Actual features used will be determined by the City and selected IVR vendor IVR Interface for Trakit $5,000. Current Maintenance for the IVR d11 is $500/yr. This is separate from and in addition to the maintenance for the primary Trakit license. Prices are good through 6/30/06 Delivery made remotely - no on-site work is included Files to be delivered within one week (7 calendar days) of authorization IVR system itself not included - to be purchased separately from a qualified vendor Payment is due upon delivery of files Please let me know if any questions arise, or if I can be of service in any way. EXHIBIT "H" June 8, 2006 These web pages are designed as an Internet portal to the Trakit database for use by the public, and provide the following services, if desired: Permit Lookup, Project Lookup, Business License Lookup, Contractor Lookup Parcel Lookup (zoning information, etc) Inspection Requests by Contractors Inspection Posting by Inspectors Plan Review Posting by agencies outside the City Payment of outstanding fees - Using interface to a third party Credit Card vendor of the City's choice Online Permits, including fee collection and printing of permit eTrakit web pages $15,000. Less amount paid in original contract for Internet services -$6,000. Total Current Maintenance for eTrakit is $1,000/yr. This is separate from and in addition to the maintenance for the primary Trakit license.
