CIRCULATION SUPERVISOR
INTRODUCTION OF NEW TRUSTEE AND NEW ALTERNATE TRUSTEE
Robert Ross, new Trustee, and Scott Harrop, new alternate Trustee, introduced themselves to the
Board. Board members also introduced themselves to the new members.
APPROVAL OF AGENDA
The agenda was unanimously approved on a motion by Libresco and a second by Cortes.
APPROVAL OF MINUTES
April minutes could not be approved due to a lack of a quorum, so are tabled until the next
meeting.
PUBLIC COMMENT
None.
STAFF PRESENTATION
Jamie Poirier, the Interim Downtown Library Circulation Supervisor, presented about some of
the changes in the Circulation Department. She talked about the increase in face-out display of
materials in the shelves behind the desk facing the lobby, simplifying loan rules for materials,
and the Circulation staff’s leadership with the 3D printer—including the printer in the lobby and
the upcoming programs teaching people about 3D design and printing.

Facility Updates
Noll & Tam continues work on the research phase of our facilities project.
3D Printer on Display
The Downtown Library currently has one of our grant-funded 3D printers on display in the lobby
(next to the self-check-out stations) as a way to raise community awareness about this
technology, give people a chance to see it in action, and promote our upcoming programs
regarding 3D design and printing.
Summer Tech at the Downtown Library
The Downtown Library is launching into our summer series of technology programs for all ages.
• 3D Printing—Tuesdays May 22, June 12 & 26—4-6pm / Saturday June 2—10:30am-
12:30pm. Help us test out our new 3D printers, choose a design to print yourself, and learn
how they work.
• Virtual Reality—Tuesdays June 12 & 26—4-6pm / Saturday June 2—10:30-12:30pm. Try
our VIVE virtual reality system to play games or travel the world.
Intercambio Marin
Starting May 10th, every Thursday night from 6-8pm at Marin Health and Human Services on
Kerner Blvd, Pickleweed Library staff will be holding Intercambio Marin is a one-on-one
language exchange program for English and Spanish speakers. Native speakers of both
languages are paired-up or put in small groups in order to practice speaking each language.One
One Book One Marin
The committee of public and academic libraries, Dominican University, and Book Passage
bookstore are discussing a possible change to the way One Book One Marin runs in the future.
Pre-Processing Update
Technical Services staff has completed the first step in implementing preprocessing for the books
that San Rafael Public Library buys from Baker and Taylor. The next step will be customizing
our ordering interface by setting up online grid ordering to enable Baker and Taylor to be able to
accurately process each different category of book that we order. Technical Services staff hope
to have the process ready to implement by the start of fiscal year 18/19.
Children’s Picture Book Categories (Downtown Library
The Technical Services staff has begun the process changing the location codes and providing
colored overlays for the new children’s picture book categories. So far completed categories
include Things That Go (yellow), Dinosaurs (green), and Growing Up (red). There are nine
categories altogether and staff hope to finish the project in the next few weeks.
REPORTS FROM LIBRARY SUPPORT GROUPS AND OTHER RELATED GROUPS
Friends of the Library: The Friends held a retreat last month and hope to firm up future
fundraising plans at their regular Board meeting tomorrow (May 9, 2018).
SRPL Foundation: The Foundation has not met but does meet this Friday (May 11, 2018).
Special Library Parcel Tax Committee: The Committee has not met but does meet next week
(May 15, 2018).

NEW BUSINESS
Strategic plan accomplishments 2017/2018 3rd quarter report
Houghton presented the achievements from the past quarter. Trustee Libresco asked about the
“Trust Bingo” and Assistant Director Bankhead explained that this was part of the Library’s
employee engagement efforts, which are part of the City’s overall Together San Rafael employee
engagement efforts. In Trust Bingo, you talk to coworkers who you don’t interact with regularly
at work and through learning more about each other build trust.
Outreach activities 2017/2018 3rd quarter report
Houghton presented the outreach activities from the past quarter. There were no questions.
Budget expenditures 2017/2018 3rd quarter report
Houghton presented the budget expenditures from this past quarter. Trustee Libresco asked about
the unspent digital resources dollars and Houghton stated that this money would likely all be
spent by the end of the fiscal year, based on service renewal dates and additional purchases.
Draft budget for 2018/2019
Houghton presented the draft budget for next fiscal year. The draft includes assumptions about
parcel tax revenue and the increase in staffing costs. There is also an increase in IT services,
which was covered by additional allocations from the general fund, therefore the Library did not
need to cut anything else to cover this increase.
Smoking
This non-action item was raised by Trustee Cortes. She expressed concern that over the last two
weeks, more people were smoking very close to the Library. Houghton noted that this is not only
against policy, but against San Rafael Municipal Code. Houghton noted that staff and the
security guard do confront people smoking close to the entrances or air intakes, and requested
that if the community sees this happening to notify staff or the security guard and the situation
will be addressed.
