HomeMy WebLinkAboutBoard of Library Trustees 2017-10-10 MinutesMINUTES OF THE REGULAR MEETING OF THE SAN RAFAEL LIBRARY BOARD OF TRUSTEES TUESDAY, October 10, 2017 DOWNTOWN LIBRARY MEETING ROOM 6:00 P.M. CAROL MANASHIL, CHAIR, PRESIDING MEMBERS PRESENT: CAROL MANASHIL, CHAIR JOSH LIBRESCO MELANIE LEAVITT CANTARUTTI MEMBERS ABSENT: JAIMI CORTES, DOUG VAN GESSEL OTHERS PRESENT: HENRY BANKHEAD, ASSISTANT DIRECTOR JAMIE POIRIER, TECHNICAL SERVICES SUPERVISER APPROVAL OF AGENDA With correction of the date and addition of Library RFP update, Agenda was approved unanimously on a motion by Cantarutti and a second by Libresco. APPROVAL OF MINUTES September minutes were not approved lacking a quorum of members present at the September meeting PUBLIC COMMENT None STAFF PRESENTATION Jamie Poirier, Technical Services Supervisor made a presentation about her role with the California Library Association (CLA). She spoke about her work on the membership committee, conference planning committee, career center, and virtual conference. She also explained that she is running for a seat on the CLA board this year. CORRESPONDENCE None REPORT FROM LIBRARY DIRECTOR Personnel Updates The library has made a conditional offer to a new adult services librarian. She will hopefully be starting work in mid-October. We look forward to a fully staffed librarian bullpen. Two new part-time Library Assistants have been hired by our circulation department. Both have already started work and are contributing to the success of the overall team. Facility Updates The Menzies parking lot has been repaved at the end of September, marking the first time in recent memory that this essential lot has been significantly improved. A new hose lock has been installed on the faucet outside the library’s employee entrance to limit water waste from the unregulated use of the city’s water. Library Activities Donation: A large donation has been received and is pending acceptance at the October10th City Council meeting. In late September 2017 the Library received a generous donation of $1,282,725.65 from the trust of Robert and Lorraine Joses. Mr. Joses was a 1939 graduate of U.C. Berkeley and the treasurer of Pacific Telephone. He and his wife Lorraine lived in San Rafael for a number of years. He was involved in organizations such as the San Rafael Improvement Club and the California Historical Society. After Robert’s death in 1998 Lorraine moved to Villa Marin and remained an active member of the San Rafael Community volunteering and assisting with community outreach programs for St. Paul’s Episcopal Church. 3D printers: The library just received two 3D printers through the 2016/17 Technology TNT for Libraries Grant from the California State Library. In Cooperation with the Southern California Library Cooperative we now have two LulzBot TAZ 6 3D Printers. One will be available for each of our library locations to allow patrons to experience the wonder of 3D printing. Staff Day – The library was closed September 22nd for our annual all-staff day. The theme was Engagement. We met at NatureBridge in the Marin headlands which provided a beautiful setting for our work. This was the first staff day planned entirely by the staff; our engagement groups— Trust, Communication, Recognition and Cross-Training set the agenda. Highlights included a speaker on non-violent communication (NVC), a teach-back where employees taught each other simple skills, and several inspiring Ted-talks and consequent discussions. REPORTS FROM LIBRARY SUPPORT GROUPS AND OTHER RELATED GROUPS Friends of the Library: Friends of the Library (Bankhead) approved three large funding requests for new materials and library programs at their September meeting SRPL Foundation: (Bankhead) The foundation accepted a donation in the amount of $200 dollars in memory of Randy Coleman. The foundation meeting for September was largely devoted to logistics for the October 12 annual dinner. Special Library Parcel Tax Committee: (Bankhead) The committee has three new members, and two former members. The committee elected Brinckerhoff chair, decided that Lee and Brinkerhoff would have 4 year terms and Cook, Kellogg and Ross would have 5 year terms. They reviewed budget spreadsheets for the last quarter of 16/17 and library outreach efforts. Lee and Brinckerhoff volunteered to write the budget report for council. New Library Facilities Planning Project: (Libresco) Six proposals were received from architectural design/management firms. Libresco recounted how all six firms seemed reasonable; however, since a number of the committee members were intimately familiar with the work of more than half of the firms, this offered additional perspective. After some discussion, the committee selected three firms to interview with the New Library Facilities Planning Project Committee in mid-October002E OLD BUSINESS Items included in Old Business on the agenda: -Final Library Facilities Assessment Report from Group 4 , -Key statistics from 16/17 -Final budget report from 16/17 Nothing changed in these matters: they were included in error, no discussion occurred NEW BUSINESS Together San Rafael – Bankhead outlined the city’s progress in the Together San Rafael initiative including overall engagement process and learning labs with consultants from CivicMakers to encourage and empower employees to prototype improvements to the way we do business.
