HomeMy WebLinkAboutBoard of Library Trustees 2017-07-11 MinutesMINUTES OF THE REGULAR MEETING OF THE SAN RAFAEL LIBRARY BOARD OF TRUSTEES TUESDAY, JULY 11, 2017 DOWNTOWN LIBRARY MEETING ROOM 6:00 P.M. CAROL MANASHIL, CHAIR, PRESIDING MEMBERS PRESENT: CAROL MANASHIL, CHAIR MELANIE LEAVITT CANTARUTTI JOSH LIBRESCO JAIMI CORTES MEMBERS ABSENT: DOUG VAN GESSEL OTHERS PRESENT: SARAH HOUGHTON, DIRECTOR HENRY BANKHEAD, ASSISTANT DIRECTOR APPROVAL OF AGENDA The agenda was approved unanimously on a motion by Cantarutti and a second by Libresco. APPROVAL OF MINUTES A quorum of attendees from the last meeting was not present, so June minutes approval was tabled until the August meeting. PUBLIC COMMENT None STAFF PRESENTATION None CORRESPONDENCE None REPORT FROM LIBRARY DIRECTOR Personnel Updates Library staff is currently scheduling interviews for the three open positions. Libresco asked about the number of candidates for each position. There were around 60 applicants for the Librarian position and around 120 for the two Library Assistant positions. City Council Actions On July 17th the City Council will be holding interviews for the new 5-person Parcel Tax Committee. Facility Updates: New children’s room furniture and slatwall is waiting to be installed. Library Activities CENIC Gigabit Ethernet Connections Update Both libraries were switched over to the new, faster CENIC network on July 10th successfully. Technical Services End-of Year Rush Technical Services staff has been busy with an influx of new items as the fiscal year wraps up. Technical Services staff is also working with selectors to help improve the efficiency of new items being added to the collection. Libresco asked if staff were able to keep up with weeding/deaccessioning items to make space for the new items. Houghton and Bankhead replied in the affirmative. REPORTS FROM LIBRARY SUPPORT GROUPS AND OTHER RELATED GROUPS Friends of the Library: The Friends Library Lawn Sale was successful (Houghton estimated at the meeting that the total for the sale was around $6,000. The actual total was $5225.25). Peter Lee has joined the Friends Board. The Friends Board is not meeting in July. SRPL Foundation: The Foundation is currently planning for their annual meeting/program on October 12th. More information on that will be available soon. Special Library Parcel Tax Committee: The Committee has not met since the last Trustees meeting. OLD BUSINESS None NEW BUSINESS 3D printer demonstration—The Library has a 3D printer (a Lulzbot Mini) on loan from the California State Library for a month to teach staff how to use the hardware and software. Staff will discuss the possibility of acquiring a 3D printer permanently after this trial period. Sample printed objects were shared with trustees and an object was printed during the meeting. Library facilities project update—The draft Request for Proposals for the next phase of the facilities project is being reviewed by the City Attorney’s office. The hope is to post the RFP within the next month. City of San Rafael and library employee engagement project update—The City has formed a group called Together San Rafael with representatives from every City department. The group is working on employee engagement throughout the City and focused on creating Learning Labs for staff as their first project. The Library hired a consultant who conducted interviews with all Library staff and held meetings to discuss what is working well in the Library and where there are challenges. In response to this process, Library staff formed four working groups to focus on four areas of improvement: communication, trust, cross-training, and employee recognition. Each group will have an hour at the September All Staff Day for an activity or discussion of their choice working toward their group’s goal. ADJOURNMENT Meeting adjourned at 6:31 pm.
