CAROL MANASHIL, CHAIR, PRESIDING MEMBERS PRESENT: CAROL MANASHIL, CHAIR JOSH LIBRESCO MELANIE LEAVITT CANTARUTTI JAIMI CORTES DOUG VAN GESSEL OTHERS ABSENT: NONE OTHERS PRESENT: SARAH HOUGHTON, DIRECTOR HENRY BANKHEAD, ASSISTANT DIRECTOR MARGARET STAWOWY, CHILDREN’S SERVICES LIBRARIAN INTRODUCTIONS Staff, seated Trustees, and the two new Trustees introduced themselves. APPROVAL OF AGENDA The agenda was approved unanimously on a motion by Cantarutti and a second by Libresco. APPROVAL OF MINUTES April minutes were approved with edits on a motion by Libresco and a second by Cantarutti (with Cortes and Van Gessel abstaining as they were not at the meeting). PUBLIC COMMENT None STAFF PRESENTATION Margaret Stawowy presented about some of the programs happening in the children’s room so far in 2017 including math club, reading buddies, STEAM programs, game day, and more. Henry Bankhead presented about the library’s mobile bike library and the two new Dero bike fix it stations (one at the Downtown Library and one adjacent to the Pickleweed Library). CORRESPONDENCE None REPORT FROM LIBRARY DIRECTOR Personnel Updates The recruitment process has begun for the three vacancies (1 full time Downtown Adult Services for a Librarian I/II, 2 part time Downtown Circulation Services Library Assistant I/II positions). City Council Actions On April 17th City Council approved a temporary street closure for E Street between Fifth and Mission on Saturday, June 3rd for the San Rafael Public Library’s 130th Anniversary Celebration. On May 15th, the City Council will be hearing a proposal to form a new Special Library Parcel Tax Committee, with successive 4 and 5 year terms (to last the 9 years of the tax). Facility Updates: On May 1st we had another incident with sewer gas backing up into the Library Administration offices. Library Activities CENIC Gigabit Ethernet Connections Update Library staff are being reassured that both of our libraries will be up by the end of May. Immigration Services: Coming to the Pickleweed Library Pickleweed Supervising Librarian has begun a two month long online training entitled ‘Comprehensive Overview of Immigration Law’ given by the Catholic Legal Immigration Network. The goal of this training is for Josh and the Pickleweed Library to gain BIA (Board of Immigration Appeals) recognition and accreditation which would allow trained library staff to legally provide a higher level of immigration law advocacy then we do now. Mobile Bike Library The Mobile Bike Library (or Book Bike for short) is up and running to help increase outreach services and programs, and increase visibility in the community. This bike- powered book mobile supports outreach efforts to bring the public library to schools, senior centers, and community fairs/events. Some programs that can be offered by the bike include (depending on needs/focus) the issuing of new library cards, material check outs, arts/crafts projects, and demonstrations of other technologies (eBooks, databases, music/movie streaming) offered by the library. Questions answered Upon request, Houghton gave more information about the upcoming 130th anniversary celebration and Houghton and Manashil talked more about the process for the new Parcel Tax Committee’s formation. REPORTS FROM LIBRARY SUPPORT GROUPS AND OTHER RELATED GROUPS Friends of the Library: The book store just finished an in-store sale and is one critical member down at present, but continuing their valiant work to raise funds for the Library. SRPL Foundation: The Foundation continues to work closely with Library staff and the City Council New Library Subcommittee on the facility needs assessment and vision plan. Board member Ann Rivo has resigned. Special Library Parcel Tax Committee: (Carol Manashil) No report, but Manashil explained the purpose and tasks of the committee for the new Trustees. OLD BUSINESS None NEW BUSINESS 2016/2017 3rd quarter budget report—Houghton presented the narrative and spreadsheet reports for the first three quarters of the fiscal year and reported that the Library is on target for expenditures in both the General Fund and the Parcel Tax budgets. Strategic plan achievements report—Houghton presented the 1st quarterly report for the 2017-2018 (calendar years) strategic plan achievements. Staff is satisfied with the progress being made toward the Library’s strategic goals. 2016/2017 3rd quarter outreach efforts report—Houghton presented the quarterly report on outreach activities engaged in by the Library staff.
