Libresco commented that he appreciated the former practice of the minutes being sent out right after the meeting for corrections. Bankhead replied that this would no longer occur because it was not standard practice and that to avoid and perceived violations of the Brown Act, we should really be having the discussion regarding minute corrections in a public forum, i.e. at the meeting, rather than by email. PUBLIC COMMENT None. STAFF PRESENTATION Bankhead gave the Board a tour of the Northgate Popup library facility including the virtual sandbox, virtual reality equipment, 3D printer, face-out shelves and workroom. SRPL BOARD OF TRUSTEES MEETING SUMMARY Gary O. Phillips, Mayor • Maribeth Bushey, Vice Mayor • Kate Colin, Councilmember • John Gamblin, Councilmember • Andrew Cuyugan McCullough, Councilmember None. Cortes would like Bankhead to inquire what “correspondence” is and whether it is required in City minutes. REPORT FROM LIBRARY DIRECTOR Bankhead discussed the mall project, how it was conceived and how it is operating. Libresco had numerous suggestions for improving the Tapyness survey that is being deployed on the iPad at the mall. Cortes suggested creating a Spanish language version. REPORT FROM LIBRARY SUPPORT GROUPS AND OTHER RELATED GROUPS Friends of the Library: Bankhead: Friends cancelled December meeting. SRPL Foundation: Bankhead: Foundation cancelled December meeting. Special Library Parcel Tax Committee: Have not met since last Trustees meeting. OLD BUSINESS Board of Trustees Annual Report - Bankhead reiterated the plan for all boards and commissions to submit an annual report. Cortes and Van Gessel mentioned that a tie in to the strategic plan for the library would be useful for this report. Bankhead will send out report draft and strategic plan to solicit feedback from individual board members. Mall Project update – Bankhead provided the Mall update as part of his tour of the Northgate popup. New Library Facility Planning Process update – Bankhead reported that costing info from Noll and Tam would not be available till later in February. Noll and Tam have not started the survey as they are waiting on costing info. Bankhead surveyed the board as to whether the survey should happen before the last set of community meetings or before. The board were unanimous in thinking the survey should happen first. Cortes and Libresco expressed continued frustration that the process was taking so long and were very concerned that opportunities were being lost by the delayed process. Bankhead responded that the more extended process had been vetted by the City and by direction coming out of the Council Retreat. Board members continued to express concern about the slowness of the work progress in the New Library Facilities Planning Process. NEW BUSINESS Correspondence – Bankhead reported that, per the elected city clerk, correspondence is not a required part of the regular agenda. Gary O. Thank you. • (Bibliocommons user) This site is really user-friendly. I just put a book on hold and it took seconds only. • (Bibliocommons user) This is the first library system that I have used (and I have used many in several different states) that has the option to make a list of future items to check out and also the first one to have a history of what I have already checked out. Thank you to whoever created these into the system :D • (Bibliocommons user) found what i was looking for quickly and easily...thanx! • (Yelp Review) So where do you go with 6 boxes of German books after your relative passes away? After doing a little research, the answer was simple: San Rafael Public Library. If you visit them on Monday, Wednesday or Friday (9:30am - 11am), you can donate your books, and they'll take care of the rest. Plus, they'll even give you a tax deductible receipt. It's a total win -win! I'm so glad to have discovered their services. And I'm truly grateful to know that these books will find a good, new home! • Our computers here at the San Rafael library desperately need to be repaired: In spite of repeated complaints from many of us patrons here at the San Rafael branch, the computers here still routinely fail to respond to the commands of the users. We are all greatly stymied in our efforts to send and receive messages and to gain information from these disabled computers. I urge you to commit the necessary resources needed to adequately and effectively repair these computers so that using them is no longer a constant frustration and worry for those of us whose livelihoods depend on their proper functioning. • I am lastingly knocked out by San Rafael Main's service, and by the county system as a whole. A good library is among the top three or four reasons I feel that Marin Co. is a good place to be old and poor in. Thank you. Monthly Library Report to the Library Board of Trustees, p. 3 New Book Trucks The downtown library recently purchased four new book trucks, each one in a different color. Our original order for another color of book trucks was backordered due to a limited stock of that color so we decided to go with the colors that were available. These new book trucks will make sorting the checked in books easier as we often have limited sorting ability due to the scarcity of books trucks. As a partner in the New Americans Campaign (NAC) with Canal Alliance, North Marin Community Center, Marin Library and Family and Children’s Law Center of Marin, the San Rafael Library is working to facilitate the naturalization process for all eligible candidates in the county. Last Friday, over 30 interested parties showed up for assistance with their Naturalization paperwork. Using the facilities of the Library and Community Center, members of the NAC team worked directly with naturalization candidates, assisting them to fill out their paperwork using an online portal called Citizenship Works. Each candidate will now follow up for a one-one-one appointment with trained legal staff from the NAC team who will assist them to complete and mail off their application. We are very excited to be able to offer this new service !
